AI automation and integrations

What does small-business AI automation cost to build and maintain?

The short answer

Price the workflow, not the word AI. A simple connection, a CRM follow-up system, and a booking/payment workflow have different scopes. Current menu examples are $499 initially and $19 monthly for Automation and API Integration, $999 initially and $79 monthly for CRM Follow-Up Workflow, and $1,399 initially and $49 monthly for a Booking, Quote, or Payment Workflow. Platform subscriptions and usage may be additional.

What do the published prices cover?

Automation and API Integration$499$19/mo
CRM Follow-Up Workflow$999$79/mo
Booking, Quote, or Payment Workflow$1,399$49/mo

Checked October 21, 2026 against the published service menu. These are separate scoped services, not three required purchases or an unlimited automation package. The first payment is not an extra setup fee to add again to that same first payment. Ongoing monthly billing, the start date, outside charges, and any combined-service savings must be confirmed in the written scope before payment.

The integration entry covers a basic supported connection and workflow map. The CRM entry concerns lead fields, status, reminders, and follow-up structure. The booking/quote/payment entry concerns intake, customer action, and routing. Multi-system migrations, complex permissions, large knowledge bases, regulated data, and substantial custom development need a separate assessment.

Can AI work with my existing website, CRM, and booking system?

Often, but not by assumption. Check whether each product supports an API, webhook, embed, export, or approved connector, and whether your subscription includes access. A platform may technically support an integration while charging extra for the required plan. Identify the system that owns each record before connecting anything.

  • Website: determine where a form, chat, or booking component can be installed and whether submissions can reach the intended system.
  • CRM: map fields, required values, lead ownership, duplicate rules, and the action that should happen next.
  • Booking: establish the source of availability, time zone, appointment rules, and how reschedules and cancellations are handled.
  • Email and SMS: confirm sender identity, permitted messaging, opt-outs, routing, and provider limits.
  • Payments: use the approved payment provider and its secure flow. A chat conversation should not collect raw card details.

What does a useful small workflow look like?

Illustrative example, not a claimed client result: a customer submits an estimate request. The system checks required fields, creates or updates one CRM lead, alerts the owner, and records whether the notification succeeded. An approved acknowledgment explains the next step. A reminder is scheduled only when the permission and business rules allow it.

That workflow still needs decisions: what happens if the lead already exists, the API is unavailable, the owner is off duty, or the customer replies STOP? Writing those answers before building usually produces a more useful scope than buying several disconnected AI subscriptions.

Why is there a monthly cost?

Connections can break when providers change authentication, fields, permissions, rate limits, or features. Agreed maintenance can include connection checks, reviewing failures, and small changes within the written scope. It is not automatically round-the-clock human coverage, unlimited development, or unlimited messaging and model usage.

Ask for a clear split between the provider's maintenance fee, software subscriptions, phone numbers, messaging/carrier charges, and AI/API usage. Keep business accounts in your control where possible and agree how access is revoked if service ends. A workflow should have a manual fallback so an outage does not silently discard an inquiry.

What should be tested before launch?

Test a valid submission, a duplicate, missing information, an integration failure, a timezone boundary, an owner handoff, and any applicable opt-out. Confirm where the result is visible and how a failure is reported. Measure the business outcome: response time, completed appointments, qualified leads, or time saved. Do not buy automation merely because a demo can produce an impressive paragraph.

Questions before you buy

What does AI automation cost each month?

The listed maintenance examples are $19, $79, or $49 monthly for the respective scoped services. Your total depends on the selected workflow and any separate software, messaging, or API costs. Confirm the full written amount before ordering.

Can I start with one workflow?

Yes. Define one repeated task, its trigger, required data, expected result, and failure path. A focused first workflow makes it easier to assess value before expanding the system.

Will every CRM or website integrate?

No. Compatibility depends on the actual platform, subscription, permissions, supported interfaces, and business requirements. Verify those details before promising a connection or paying for a build.

Is a website chatbot the same as a full automation system?

No. A chatbot may answer approved questions and route a lead. Updating a CRM, checking availability, sending messages, or handling transactions requires its own supported integration and tested rules.
